Church kids check-in: every child goes home with the right person
Parents drop their child off, check in and receive a code. At pick-up, only an authorised guardian can collect the child. Any exception is logged with the reason.
One code at drop-off, the same code at pick-up
Only an authorised guardian can collect the child.
- 1
The team confirms the child
At check-in, the team confirms the child in the service room and sees any allergies.
- 2
Label and code
Two labels print with the same code: the child’s goes on their clothes and the guardian keeps theirs for pick-up.
- 3
Pick-up with the code
At pick-up, the team asks for the code and checks that the person is authorised. Only then do they log the pick-up.
Who collects, when and why is on record
If someone turns up who isn’t on the list, the team can log an exception, but they must give the reason and say who approved it. Every arrival and departure goes into a record that cannot be altered. If anyone asks, the church has a clear history.
- Incident log.
- Background check record, kept manually by the church.
Parents’ pre-check-in and information for whoever collects
Parents can prepare the check-in before they arrive, using the app. For families visiting the church for the first time, there is a dedicated visit page.
- Pre-check-in through the app, before arriving at church.
- “Kids live”: the guardian sees their child’s status.
- Guardian self-service: they show the team a short-lived QR code to collect the child.
Equipment
Works with what you already have at the welcome desk
You don’t need to buy any equipment to get started.
-
Ordinary printer
The child’s label prints from the browser, on any ordinary printer connected to the welcome desk computer.
-
Check-in station
A tablet at the entrance opens the station at its own address, full screen and without signing in. The address expires and can be revoked.
-
Labels your way
You design the check-in label template. The health alert shows as an icon only, with no clinical text.
-
Browser dashboard
Check-in and pick-up happen in the church dashboard, open in the browser on the room’s computer.
-
Pick-up code
What gets the child to the right person is the pick-up code, not the equipment.
Who uses children’s check-in
Two roles share this feature. Each page shows the week of the person who uses it.
More for children’s ministry
Features that support the rooms and the families.
Allergies show as an alert on the room list, so the team spots them in time.
Each room has its own live list of the children present, for the room team.
Record each volunteer’s child safety qualification and see whether it is valid, expiring or missing.
Children are linked to their parents and authorised guardians on the family record.
Children’s data has limited access, with boundaries set by role.
Frequently asked questions
Who can collect the child?
Only an authorised guardian. At pick-up, the team asks for the pick-up code and checks that the person is on the child’s list. Anyone else means an exception, with the reason and the person who approved it logged.
What if someone who isn’t authorised turns up?
The team doesn’t hand the child over without confirmation. If the church decides to allow it, they log the exception with the reason and the name of whoever approved it. It all stays in the pick-up record for later review.
Can the arrivals and departures record be deleted?
No. The record is tamper-proof: once saved, the team can neither change nor delete it. That way the church keeps a faithful history of what happened in the room and can answer precisely if a parent asks what time their child left.
How long does it take to set up the rooms?
We set up the rooms with you after the demo, at no extra cost, and your church is ready in up to 2 weeks. Check-in is done in the dashboard, from the browser, and the label prints on an ordinary printer, with no separate equipment.
Do I need a label printer?
Labels print from the browser, on an ordinary printer connected to the welcome desk computer, and you can design the template. You don’t need any special equipment: what gets the child to the right person is the pick-up code.
Is children’s data protected?
Yes. Children’s data has restricted access, each person sees what their role allows and the data stays in the European Union. Two-step verification protects administrator access.
Which plan includes children’s ministry?
Children’s check-in is included from the Grow plan. Grow costs €29 a month for up to 250 people and Build €69. The price depends on the size of the church, not on the number of rooms or children.
