Worship rota and teams: swap without the drama

Each volunteer says when they’re available, confirms on their phone and suggests a swap when they need one. Leaders approve and see who has served least before finalising the rota.

Fictitious demo data
The volunteer proposes, leadership approves. Brado suggests, you decide.

A Sunday with Brado, from the worship team’s side

The rota stops living in a message group.

  • Start of the month

    Everyone says when they can

Leaders see who can serve on which Sundays.

  • Before the service

    Reminders and swaps

Brado reminds whoever hasn’t confirmed yet. Peter proposes a swap for 9 November and Daniel accepts.

  • Saturday, at rehearsal

    The service setlist

The worship leader opens each song’s chord chart, adjusts the key and sees how many times it has been played.

  • Sunday, 9:50

    Full rota

18 of 22 confirmed (for example) and the order of service in front of the team.

The volunteer proposes, leadership approves

Each volunteer says when they’re available and confirms in the app. When they can’t make it, they suggest a swap or pick up an open slot.

Brado suggests, you decide

The suggestion removes anyone unavailable, respects each role’s requirements, avoids two people from the same family at the same service and gives priority to whoever has served least. Leaders adjust and approve.

Reminders before the service

Reminders at 7 days, 24 hours and 2 hours, with each volunteer’s status. Everyone can add the rota to their phone’s calendar.

The setlist in one place

The songbook stores the chord chart, key, tempo and the number of times each song has been played. You transpose, use a capo, let the lyrics scroll by themselves and switch to stage mode. The order of service brings together Sunday’s programme.

Questions

Frequently asked questions

Can a volunteer decline or swap?

Yes. A volunteer sets their availability, declines whatever they can’t commit to and suggests a swap with another volunteer. Leaders approve. There are also open slots for anyone who wants to take a free place.

How do we avoid overloading the same people?

Brado shows each volunteer’s load and suggests a rotation that gives priority to whoever has served least. It’s a suggestion based on clear rules, which leaders adjust. The numbers help you have a gentle conversation, with no rankings.

Are there rota reminders?

Yes. Reminders go out 7 days, 24 hours and 2 hours before the service, by notification. If someone turns notifications off, the rota is still visible in the app and the dashboard.

Can the rotas be used for children’s ministry?

Yes, and you can require qualifications such as child safety training. Brado shows who has it valid, expiring or missing before you put anyone on the rota. It records what the church enters, with no automatic verification.

Which plan do I need for rotas?

Rotas are part of the Grow plan (€29 a month) and the plans above it. You don’t pay per volunteer: the price depends on the size of the church. Build costs €69 a month and goes up to 1,000 people.
