Church volunteer rotas that don’t overload the same people

Volunteers say when they’re available, confirm on their phones and propose swaps. Leaders approve them and can see who has served most often.

Availability and confirmation

Rotas built with people who can serve, not against everyone’s diary

Rota by event, by week or by month. Leaders see who is free and who has the skills asked for.

  1. 1

Everyone says when they can serve

Volunteers add their gifts and weekly availability on their phones.

  2. 2

    Leaders build the rota

When building the rota, you see who is free and who meets the requirements.

  3. 3

    Confirm on the phone

Volunteers confirm or decline in the app, and the dashboard shows who hasn’t replied yet.

Swaps and rotation

Swaps without the drama, and a rota that shares the load

When someone can’t make it, they propose a swap in the app and leadership approves. There are also open slots that volunteers can take on. To build the rota, Brado suggests a balanced proposal, which leadership accepts or adjusts.

  • The suggestion leaves out anyone who is unavailable or doesn’t meet the requirements.
  • It avoids rostering two people from the same family at the same time and gives priority to whoever has served least.

Knowing who can serve

Everyone’s qualifications and workload at a glance

For teams with requirements, such as child safety or a training course, the dashboard shows who has a valid, expiring or missing qualification. The per-person view shows workload, availability and declines, so leaders can have a careful conversation in good time.

  • Qualifications with a status: valid, expiring or missing.
  • Worship team songbook, with chord charts, transposition and capo, linked to the service rota.
  • A record of how many times each song has been played.

Questions

Frequently asked questions

Can a volunteer decline or swap?

Yes. They confirm or decline in the app and, if they can’t make it, propose a swap. Leadership approves the swap on the dashboard. Open slots are available to anyone who wants to take them.

How do I avoid overloading the same volunteers?

Brado suggests a balanced rota that gives priority to whoever has served least often and leaves out anyone who is unavailable. The per-person view shows everyone’s workload. The suggestion is a proposal, and the decision is leadership’s.

Are there automatic reminders?

Yes. Brado sends a notification reminder 7 days, 24 hours and 2 hours before the shift. Anyone with notifications turned off can still see the rota in the app and on the dashboard.

How does the rota suggestion decide?

The suggestion follows clear rules: it filters out anyone unavailable or without the requirements, avoids two people from the same family and orders by who has served least. It’s a proposal that leadership accepts or changes.

Which plan includes rotas?

Rotas are included from the Grow plan. Grow costs €29 a month for up to 250 people. The price depends on the size of the church, not on the number of volunteers or leaders.

Can I record qualifications for people who work with children?

Yes. You record the qualification, such as child safety, and the dashboard shows whether it is valid, expiring or missing. Brado records what the church tells it and does not run automatic checks.
